Kerbly / AI receptionist for wedding venues
AI phone answering
The wedding venue receptionist that never goes to voicemail.
A couple rings on a Sunday evening, or while your one phone-answerer is out showing another couple around. Right now that call goes to voicemail, and most couples don't leave one: they just ring the next venue on their list. Willa answers instead, in your venue's voice, checks your real calendar, and books the tour before the couple has put the phone down.
This is not a recording. The number above is the real system, the same one your venue would run. Ring it, push it, try to catch it out. Most providers won't let you near a live system until you've signed. We'd rather you tested ours first.
The problem
The visit goes to whoever answers first.
Couples researching venues are usually contacting several at once, often in the evening or at a weekend, exactly when a small venue team is stretched thinnest or already gone home. A missed call isn't a message waiting for Monday. It's a booked tour at the venue that picked up.
Without a receptionist on the line
- Calls after hours and during tours drop to voicemail.
- Couples rarely leave a voicemail, so you never even know they called.
- The enquiry you paid to attract rings the next venue instead.
- Your team plays catch-up on Monday, a day or two behind the venue that answered.
With Willa answering
- Every call is answered, day or night, in your venue's tone.
- Common questions are handled from the facts you approved.
- A genuine open slot is offered and the tour is booked mid-call.
- Anything she shouldn't handle goes to your team with the full context.
On the call
What actually happens when a couple rings.
-
I
She answers, as your venue
Willa picks up in your venue's name and tone. She opens every call by introducing herself as the venue's virtual assistant, so no couple is ever misled, and she never pretends to be a specific member of your team.
-
II
She answers the common questions, from your facts only
Capacities, what's included, access times, the pricing you're happy to share: she quotes only from the knowledge base you signed off. If it isn't in there, she doesn't invent it.
-
III
She checks your real calendar
She reads your live availability, so the dates she mentions are dates you genuinely have open. No double-bookings, no offering a slot that's already gone.
-
IV
She arranges the tour
She agrees a time that suits the couple and gets it booked in, then a written confirmation follows by text so nothing rests on a spoken word or a scribbled note.
-
V
She hands the rest to your team
Anything personal, sensitive or outside her remit is passed straight to a human, with the full conversation attached, so your team picks up exactly where the couple left off.
Honesty and control
You stay in charge of every word she can say.
Willa can only work from the facts you approved in writing, so she can't quote a price you didn't set, promise a date you don't have, or agree to something your team wouldn't. When she isn't sure, she says so and takes a message rather than guessing.
She's open about being the venue's virtual assistant, and any couple can ask to speak to a person at any point. You decide how much she handles: answering after-hours calls only, or the whole journey to a booked tour. You can widen that, narrow it, or switch her off entirely, whenever you like.
Is it for you?
Honest about who this suits.
A good fit if
- You take real enquiry calls and a small team can't always pick up.
- Calls land in the evenings and at weekends, when couples are free to ring round.
- You'd rather a couple got a warm, accurate answer than a voicemail beep.
- You want to stay in control of exactly what gets said in your name.
Probably not, if
- You want it to replace your team. It's there to catch what they can't, not to take over.
- You'd want it improvising prices or promises. It only says what you approved.
- Your enquiries are almost entirely walk-ins with no phone or online contact.
