Kerbly is configured around the way your venue already works, not installed over the top of it. Here is exactly what happens, step by step, and what each stage actually gives you.

Map your enquiry flow
Before anything is built, we trace every route a couple can reach you by — and, more usefully, how long each one currently takes to get answered.
- Every channel you’re reachable on: website forms, Instagram, Facebook, WhatsApp, email, phone.
- Who picks each one up today, and what happens to it after hours and at weekends.
- The point in the conversation where couples typically stop replying.
- How a tour actually gets into your diary today — and who has to be free to put it there.
What we need from you: one call, around an hour. No prep, no documents.
Why it matters to your venueAlmost every venue we speak to is losing enquiries in a place they hadn’t suspected — a form that goes to an inbox nobody watches on a Sunday, or an Instagram DM folder only one person can see. You get that picture whether or not you go ahead with us.

II
Build your venue’s knowledge base
This is the part that decides whether the system sounds like your venue or like a chatbot. We build the complete set of facts it is permitted to work from — and nothing outside that set can ever come out of it.
- Capacities, layouts, what’s included, what isn’t, access times, restrictions.
- The pricing you’re happy to publish — packages, starting-from figures, seasonal rates — and the pricing you’d rather discuss in person.
- Your tone: how formal, how warm, the words your venue uses and the ones it never would.
- The questions you already answer twenty times a month, written once, properly.
What we need from you: a review and sign-off before launch — around an hour. We draft it; you correct it.
Why it matters to your venueThis is your protection. The system can’t invent a price, promise a date or agree to something your team wouldn’t, because it has nowhere to invent from. Everything it says, you approved in writing first.

Connect your channels
Your enquiries currently arrive in five or six different places, each with its own notifications and its own way of being missed. We join them into one thread — without moving your team off anything they already use.
- SMS, WhatsApp, Instagram, Facebook Messenger, email and your website forms.
- Your phone line, so calls after hours reach Willa instead of voicemail.
- Your live calendar, so availability offered to a couple is availability you genuinely have.
- One conversation history per couple, whichever channel they hop between.
What we need from you: access to the accounts you already own. Roughly twenty minutes, and we walk you through it.
Why it matters to your venueThe couple who DMs on Instagram at midnight and then emails on Tuesday is one couple, not two enquiries — and your team stops repeating questions the couple has already answered. Nothing gets replaced; everything gets joined up.

Test real enquiry scenarios
Before a single couple touches it, we try to break it — deliberately, with the enquiries that actually cause trouble.
- Pricing pushback: “that’s more than we budgeted, what can you do?”
- Dates that are already gone, and dates that are held but not confirmed.
- Bespoke requests the system should never answer alone — own caterer, late licence, unusual ceremony arrangements.
- Complaints, sensitive circumstances, and anything that should go straight to a human.
- The couple who asks the same thing three different ways to see if the answer changes.
What we need from you: nothing. You’re welcome to watch, and most venues enjoy it.
Why it matters to your venueThis is the step that separates a system you can trust from one you have to supervise. By launch day the awkward conversations have already happened — in a test, not in front of a couple deciding whether to book you.

Launch, with human fallback on from day one
The system goes live — but never as a closed box. Escalation to your team is switched on from the first hour, and you decide where the line sits.
- Anything outside the knowledge base is handed to your team with the full conversation attached.
- You choose how much it handles: first reply only, or the whole journey to a booked tour.
- Every conversation is logged, so nothing is happening that you can’t read back.
- You can move the handover line, or pause the system entirely, at any point.
What we need from you: tell us where you want it to stop. You can change your mind later — most venues do, and it’s a five-minute change.
Why it matters to your venueYou are never handing your reputation to something you can’t see or stop. Most venues start cautiously — first reply only, so nothing sits overnight — then widen it once they’ve read a few weeks of real conversations and relaxed.
After launch
The first ten days are the easy part. Then it gets better.
A system like this isn’t finished on launch day — it’s finished after it has met a few hundred real couples. That tuning is ours to do, not yours.
